Terms and Conditions

These Terms and Conditions (“Terms”) apply to tours, guiding services, transportation arrangements, customized itineraries, and other travel-related services provided by Kimoto Tourism Co., Ltd., operating as Local Gem Tour Hiroshima (“Local Gem Tour Hiroshima,” “we,” “our,” or “us”).
By making a booking directly through our website, by email, through WhatsApp, or by another direct booking method, you (“guest,” “client,” or “you”) agree to these Terms.
Bookings made through third-party platforms, travel agencies, or other booking partners may also be subject to the terms and cancellation policies of those providers. If a separate written agreement has been made for a group, travel agency, school, company, or customized arrangement, that agreement will take precedence where applicable.
1. Bookings and Payment
Full payment is generally required at the time of booking unless otherwise agreed in writing.
A booking is confirmed only after payment has been successfully completed and a booking confirmation has been issued.
After completing your booking, you should receive a confirmation email. If you do not receive it, please check your spam or junk folder and contact us at:
All prices are displayed in Japanese Yen (JPY) unless otherwise stated and include applicable Japanese consumption tax.
By submitting payment, you confirm that you are authorized to use the selected payment method.
Infant and child pricing may vary depending on the tour. Please refer to the price and age categories shown on the relevant booking page.
2. Tour Prices and Included Services
The services included in your booking are described on the relevant tour or booking page.
Unless otherwise stated, the tour price includes the guiding service and any admission fees specifically listed as included.
Transportation costs, meals, beverages, optional activities, personal purchases, and other personal expenses are not included unless specifically stated.
Guests are responsible for paying any additional expenses that are not included in the tour price.
For meeting arrangements at Itsukaichi Port, an additional fee of ¥2,000 applies and is payable in cash on the day of the tour unless otherwise agreed.
3. Itineraries and Tour Arrangements
We will make every reasonable effort to operate the tour according to the planned itinerary.
However, itineraries may be adjusted because of weather conditions, traffic, transportation delays, congestion, attraction closures, seasonal conditions, safety concerns, guest preferences, or other circumstances.
For private tours, we will do our best to adjust the pace and itinerary according to the interests, physical condition, arrival time, and travel plans of the group.
Changes requested by guests on the day of the tour may be accommodated when possible but cannot be guaranteed.
Certain attractions, transportation services, restaurants, shops, and activities are operated by independent third parties. We cannot guarantee their operating hours, availability, admission conditions, or service.
4. Cancellation Policy
The following cancellation fees apply to cancellations made by the guest:
If you cancel your booking, the following cancellation fees will apply:
• 7 days or more before the tour: No cancellation fee — 100% refund
• Less than 7 days before the tour: 40% cancellation fee — 60% refund
• Less than 3 days before the tour: 60% cancellation fee — 40% refund
• Less than 24 hours before the tour, on the day of the tour, or in the case of a no-show: 100% cancellation fee — no refund
The cancellation time will be based on Japan Standard Time (JST).
Any non-refundable costs already incurred for special arrangements requested by the guest, such as chartered transportation, activity bookings, or other third-party services, may be deducted from the refundable amount.
If Local Gem Tour Hiroshima determines that the tour cannot be operated safely due to severe weather, natural disasters, transportation disruption, or other unavoidable circumstances, guests will receive a full refund of the tour price.
Refunds will be issued to the original payment method.
The time required for the refund to appear may vary depending on the payment provider or card issuer.
5. Bad Weather, Natural Disasters, and Tour Cancellation by Us
Tours normally operate in light rain.
If we determine that a tour cannot be operated safely or reasonably because of severe weather, natural disasters, major transportation disruptions, government restrictions, public emergencies, or other unavoidable circumstances, we may modify, postpone, or cancel the tour.
If we cancel the entire tour before it begins because we determine that it cannot be operated safely, guests will be offered either:

a full refund; or

the opportunity to reschedule, subject to availability.
If a guest chooses not to participate because of rain or personal concerns while we determine that the tour can be operated safely, the standard cancellation policy will apply.
We are not responsible for additional costs incurred by guests, including transportation, accommodation, flights, meals, or other travel expenses resulting from a tour change or cancellation.
6. Transportation Delays and Travel Disruptions
Guests are responsible for allowing sufficient travel time to reach the agreed meeting point.
If you expect to be late because of a train delay, flight delay, cruise schedule change, or other transportation disruption, please contact us as soon as possible.
We may request reasonable evidence of a major transportation disruption, such as an official delay notice, screenshot, or photograph.
Depending on the circumstances and guide availability, we may offer a delayed start, shortened tour, rescheduling, partial refund, or other reasonable alternative. Such arrangements will be considered individually and are not guaranteed.
7. Lateness and No-Shows
Please arrive at the agreed meeting point at least 5 minutes before the scheduled start time.
If you are running late, contact us as soon as possible by email, phone, or WhatsApp.
If a guest arrives late, the tour may still end at the originally scheduled finishing time.
If a guest arrives more than 15 minutes late without contacting us, we may treat the booking as a no-show.
No refund will be provided for a no-show.
If a guest contacts us in advance but is significantly delayed, we will do our best to accommodate the situation. However, depending on guide availability and other bookings, the tour may be shortened or may not be able to proceed. A refund is not guaranteed.
8. Participation, Health, and Accessibility
Guests are responsible for considering whether the tour is suitable for their physical condition and mobility.
Many tours involve walking, stairs, uneven surfaces, public transportation, ferries, and outdoor conditions.
Please inform us before the tour if any participant has limited mobility, requires special assistance, or has other needs that may affect participation.
We will make reasonable efforts to adjust the pace or itinerary when possible, particularly for private tours. However, not all locations or transportation services are fully accessible.
Guests are responsible for bringing any medication, mobility equipment, or personal items they may require.
We reserve the right to refuse or discontinue participation if we reasonably believe that a guest’s behavior or condition may create a serious safety risk to themselves, other guests, guides, staff, or members of the public.
9. Children
Children are welcome on our tours.
Parents, guardians, or accompanying adults are responsible for the supervision and safety of children throughout the tour.
Please provide the correct number and ages of children during the booking process.
If a child requires special assistance or accommodations, please inform us in advance.
10. Food Allergies and Dietary Requirements
Please inform us in advance of any food allergies, dietary restrictions, or special dietary requirements.
We will do our best to suggest appropriate restaurants or food options. However, restaurants and food providers are independent businesses, and we cannot guarantee that any meal will be completely free from allergens, cross-contamination, or specific ingredients.
Guests with serious allergies are responsible for confirming ingredients directly with the food provider and carrying any necessary medication.
11. Guides and Guide Changes
Our regular English-language tours are primarily conducted by local Japanese guides, many of whom were born and raised in Hiroshima and hold national or regional guide qualifications.
When another language is requested, or when required because of availability or operational circumstances, we may arrange a trusted external guide. The guide’s nationality, background, and qualifications may vary.
Although we make every effort to provide the originally assigned guide, we reserve the right to assign a substitute guide when necessary because of illness, emergencies, scheduling issues, or other unavoidable circumstances.
A change of guide alone does not normally qualify for a refund.
12. Travel Agencies, Groups, and Customized Arrangements
Local Gem Tour Hiroshima also operates as a local land operator.
We may arrange customized tours, private transportation, chartered buses, local experiences, activities, guides, and other travel-related services for travel agencies, tour operators, schools, companies, and groups.
Additional terms, payment schedules, cancellation conditions, and non-refundable expenses may apply to customized or group arrangements.
Where a separate quotation, itinerary, invoice, booking confirmation, or written agreement has been issued, those terms will apply together with these Terms.
13. Travel Insurance
We strongly recommend that all guests obtain appropriate travel insurance before traveling.
Travel insurance should include coverage for medical expenses, accidents, personal liability, lost or damaged belongings, transportation delays, trip interruption, and trip cancellation.
Guests are responsible for checking the coverage and conditions of their own insurance policy.
14. Liability and Responsibility
Guests participate in tours at their own risk and are responsible for following reasonable instructions provided by guides and staff.
To the extent permitted by applicable law, Local Gem Tour Hiroshima will not be responsible for injury, illness, loss, damage, delay, additional expense, or inconvenience resulting from circumstances outside our reasonable control.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by Japanese law.
Guests are responsible for their own personal belongings during the tour.
We are not responsible for lost, stolen, forgotten, or damaged personal belongings unless caused by our proven negligence.
15. Third-Party Services
Transportation companies, restaurants, attractions, museums, activity providers, accommodation providers, and other independent suppliers are not employees or agents of Local Gem Tour Hiroshima.
We are not responsible for the acts, omissions, delays, cancellations, service changes, accidents, losses, or failures of independent third-party providers, except where required by applicable law.
Where reasonably possible, we will assist guests in communicating with the relevant provider and finding an alternative arrangement.
16. Force Majeure
We are not responsible for failure, delay, changes, or cancellation caused by events beyond our reasonable control.
Such events may include, but are not limited to:

severe weather

floods

fires

natural disasters

transportation shutdowns

strikes

government restrictions

pandemics

public health emergencies

war

civil unrest

terrorism

unexpected closures of attractions or transportation services
In such circumstances, we will make reasonable efforts to provide an alternative arrangement where possible.
17. Photography and Media
Our guides or staff may occasionally take photographs or videos during a tour for promotional, educational, or social media purposes.
We will ask for permission before intentionally using identifiable photographs or videos of guests for promotional purposes.
If you do not wish to appear in photographs or videos, please inform your guide before or during the tour.
Guests may take photographs during the tour unless photography is prohibited or restricted at a particular location.
18. Personal Information and Privacy
We handle personal information in accordance with applicable Japanese laws and our Privacy Policy.
We may use booking information to provide and manage tours, process payments, communicate with guests, coordinate with guides and service providers, improve our services, and comply with legal obligations.
Where necessary to provide the booked service, relevant information may be shared with guides, transportation providers, activity providers, payment providers, booking systems, or other service partners.

19. Governing Law and Dispute Resolution
These Terms are governed by the laws of Japan.
Any dispute arising from or relating to these Terms or services provided by Local Gem Tour Hiroshima will be handled in accordance with Japanese law.
The parties will first attempt to resolve any dispute through good-faith discussion.
If legal proceedings become necessary, the competent court having jurisdiction under Japanese law will have jurisdiction.
20. Changes to These Terms
We may update these Terms when necessary because of changes to our services, business operations, laws, regulations, or booking procedures.
The version published on our website at the time of booking will generally apply to that booking unless otherwise agreed in writing.
