These Terms and Conditions (“Terms”) apply to guided tours, private guiding services, customized guiding arrangements, and related services provided by Kimoto Tourism Co., Ltd., operating as Local Gem Tour Hiroshima (“Local Gem Tour Hiroshima,” “we,” “our,” or “us”).

 

Our services may be booked directly by individual travelers, or by travel agencies, tour operators, schools, companies, organizations, group representatives, or other persons or entities arranging services for tour participants.

 

In these Terms:

• “Booking Party” means the individual, company, organization, travel agency, tour operator, school, group representative, or other person or entity that makes the booking and enters into the agreement with Local Gem Tour Hiroshima.

• “Guest” or “Participant” means any person who participates in the tour or receives the guiding service.

Where an individual traveler books directly, the Booking Party and the Guest may be the same person.

By making a booking directly through our website, by email, through WhatsApp, or by another direct booking method, the Booking Party agrees to these Terms.

Where a booking is made through a travel agency, tour operator, school, company, organization, or group representative, the Booking Party is responsible for communicating the relevant tour conditions, meeting instructions, cancellation conditions, and other necessary information to the Guests.

1. TOUR CONDITIONS & IMPORTANT NOTES

Tour Provider: Local Gem Tour Hiroshima

Operated by Kimoto Tourism Co., Ltd.

 

Included: Local guide, itinerary planning, guided outdoor sightseeing.

Not Included: Transportation fares, admission fees, meals unless stated.

 

Guide accompaniment may be restricted inside certain facilities (e.g. Peace Memorial Museum).

Explanations are provided before or after entry.

Itineraries may change due to weather, transportation, or local regulations.

These Terms apply to bookings made by individual clients and to travel agents or tour operators booking our guide or tour services without separate land-operator arrangements. By confirming a booking or making payment, the client or travel agent, as applicable, accepts these Terms. Where Local Gem Tour provides land-operator services for a travel agent or tour operator, including the arrangement of third-party transportation, accommodation, or other travel services, separate Land Operator Service Agreement & Booking Conditions may apply and will take precedence in the event of any inconsistency.

 

2. Booking and Payment

Full payment is required to confirm a booking unless a different payment schedule is expressly stated in the quotation, invoice, or booking confirmation. The booking is confirmed when the required payment has been received. All prices are stated in Japanese Yen (JPY) unless otherwise specified.

 

3. Third-Party Services and Special Arrangements

Transportation, tickets, activities, and other third-party services are not included unless expressly stated. At the client’s or booking party’s request, we may assist with enquiries or reservations for independent transportation or other third-party services. Where such services are contracted directly between the client or booking party and the supplier, the supplier’s own payment, amendment, cancellation, and refund conditions apply. Any non-refundable supplier payment, cancellation charge, ticket cost, or other committed third-party cost incurred at the client’s or booking party’s request may be deducted from any refund or charged separately, provided the relevant cost or condition has been disclosed before commitment.

 

4. Cancellation Policy

Cancellation by the Client or Booking Party

The following cancellation fees apply based on the scheduled tour start time and Japan Standard Time (JST):

 

• 7 days or less and at least 3 days before the tour start time: 40% cancellation fee — 60% refund.

• Less than 3 days and at least 24 hours before the tour start time: 60% cancellation fee — 40% refund.

• Less than 24 hours before the tour start time, on the day of the tour, or no-show:

• 100% cancellation fee — no refund.

Any non-refundable costs already incurred at the client’s or booking party’s request for transportation, tickets, activities, or other third-party services may be deducted from the refundable amount. Where a supplier-specific cancellation condition has been disclosed before the relevant booking is committed, that condition will apply to that third-party service.

 

5. Changes to the Booking

Any changes to the date, number of participants, itinerary, or services may result in additional charges or may be treated as a cancellation depending on availability.

 

6. Cancellation by the Operator

If we cancel the tour for a reason within our reasonable control, all amounts paid to us for the cancelled tour will be refunded. If severe weather, natural disaster, major transportation disruption, government action, safety concerns, supplier failure, or another circumstance beyond our reasonable control makes the tour unsafe or impossible to operate, we will offer a refund or rescheduling where reasonably possible. Any non-refundable third-party costs already incurred at the client’s or booking party’s request may be deducted from the refund where the relevant cost or condition was disclosed before commitment. We are not responsible for consequential costs such as flights, hotels, rail tickets, or other arrangements not supplied by us.

 

7. Payment Methods

Payments may be made by bank transfer or other mutually agreed methods. Any transfer or processing fees are the responsibility of the client.

 

8. Final Confirmation

Final tour details, schedule, and meeting times will be confirmed or reconfirmed after the booking is confirmed and before the service date as necessary.

 

9. Payment Details

Payment instructions will be provided in the quotation, invoice, booking confirmation, or payment request.

Payments may be made by bank transfer, Wise, credit card payment link, or other mutually agreed methods where available. Any transfer, currency conversion, or processing fees are the responsibility of the client unless otherwise stated.

11. Agreement

By proceeding with the booking, making the required payment, or providing written confirmation by email or message, the client or booking party confirms that they have read, understood, and agreed to these Terms and Conditions.
